How do I collect information from you?

I obtain information about you when you use www.hair-boutique.net , for example, when you contact me about products and services via contact form(s), by phone. email and face to face.

What type of information is collected from you?

The personal information I collect might include your name, address, date of birth, phone numbers, email address,  Technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform and if you access our website via your mobile device we will collect your unique phone identifier, and information regarding what pages are accessed and when. If you pay for a service or purchase a product from me, your card information is not held by me, it is collected by a third-party payment processor, (Izettle) who specialise in the secure online capture and processing of credit/debit card transactions. I also use (Shedul) a salon booking software and Wix online payment processor for online store purchases.

How is your information used?

I may use your information to:

  • Keep detailed records of allergy testing and results, colour notes, any relevant medical notes, appointment records and missed appointments;

  • Automated communications such as appointment reminders or birthday gift cards;

  • Carry out our obligations arising from any contracts entered by you and us;

  • Dealing with entries into a competition;

  • Seek your views or comments on the services I provide;

  • Notify you of changes to my services;

  • Notify you of annual leave:

  • Send you communications which you have requested and that may be of interest to you. These may include information about promotions/special offers/competitions/ goods and services;

I review retention periods for personal information on a regular basis. I am legally required to hold some types of information to fulfil my statutory obligations (for example client records/ allergy tests). I will hold your personal information on my systems for as long as is necessary for the relevant activity, or if is set out in any relevant contract you hold with me.

When permission is granted by clients, photographs may appear on my website, social media platforms, printed marketing  materials, and websites affiliated with Hair Boutique. If you no longer wish for your photographs be used for marketing purposes, please get in touch via email at daniela.hairboutique@yahoo.co.uk, Photos and images from those individuals who have consented to their use for marketing purpose may be kept indefinitely. Third Party Product Providers I work in association with: In some cases, they will be acting as a data controller of your information and therefore I advise you to read their Privacy Policy. These third-party product providers will share your information with Hair Boutique which will use in accordance with this Privacy Policy.

When you are using Izettle to pay for a service or product your payment is processed by a third-party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. When you are using Wix Bookings on line payment option to pay for a service or product your payment is processed by a third-party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. Covid-19 Update: I have been requested to collect and keep staff, customers and client details and information temporarily for 21 days to assist the NHS ‘Test and Trace’ service.

This is a guide to the information that should be collected where possible:

Members of staff
The names of staff who work at the premises.
A contact phone number for each member of staff.
The dates and times that staff are at work

Customers and Clients
The name of the customer or client, If there is more than one person, then you can record the name of the ‘lead member’ of the group and the number of people in the group.
A contact phone number for each customer or client, or for the lead member of a group of people.
If a customer or client will interact with only one member of staff, the name of the assigned staff member should be recorded alongside the name of the customer.
Date of visit, arrival time and, where possible, departure time.

 

As you are aware I already routinely take appointments via a booking system which records the requested information. At this time this is voluntary, for customers and clients to share their details in order to support NHS Test and Trace, this information will only be used where necessary to help stop the spread of COVID-19. The aim is to help avoid a second spike as lockdown measures are eased. Therefore If you Do Not agree or want this specific information shared for the purposes of NHS Test and Trace, you can choose to opt out.

General Data Protection Regulation (GDPR)
The data that the Government is asking me to collect is personal data and must be handled in accordance with GDPR to protect the privacy of staff, customers and clients.

GDPR allows me to request contact information from staff, customers and clients and share it with NHS Test and Trace to help minimise the transmission of COVID-19 and support public health and safety. It is not necessary for me to seek consent from each person, therefore I am advising you why the information is being collected and what I intend to do with it.

As you are aware I already collect this information for ordinary business purposes, and wanted to make you, my customers and clients, aware that your contact information may now also be shared with NHS Test and Trace.

NHS Test and Trace will ask for these records only where it is necessary, either because someone who has tested positive for COVID-19 has listed my business as a place they visited recently.

NHS Test and Trace will handle all data according to the highest ethical and security standards and ensure it is used only for the purposes of protecting public health, including minimising the transmission of COVID-19.
